You may think it’s still too early to start thinking about tax season, but for us, we’re starting to gear up for the filing period ahead. For the businesses we provide bookkeeping services to, we’ve noticed that some employee mailing addresses do not meet the format preferred by USPS.

Help Make Tax Season Go Smoothly by Updating Your Employees’ Addresses Now

In order to ensure your payroll processor gets employees’ 2023 W-2s out promptly, we need your help updating their addresses as soon as possible. As part of this process, you should reach out to each of your employees to update their addresses. Most payroll providers allow the employee to go into their account and update their addresses themselves. If yours does not, they should provide you with their current mailing address as soon as possible, and you will need to update them yourself.

What happens if some of your employees’ addresses remain unchanged? The post office may return them to your business address on file if they are undeliverable. You will then be responsible for making sure that your employees receive their W-2s by the deadline of January 31, 2024.

If you’d rather avoid this, keep in mind that updating an employee’s address to the preferred USPS format in Paychex Flex is easy. Simply start by typing in the address in the field, and the application will provide a suggested delivery address for you to confirm. This feature is available for all users of Paychex Flex. If you are using a different processor please reach out to them or us for specific directions to complete this step.
