Executive Assistant Job Responsibilities:

  • Providing administrative assistance and anticipating the needs of staff and management to ensure efficient operation of the office
  • Maintaining confidential, comprehensive, and accurate records
  • Performing minor accounting duties, including invoicing and taking payments
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answering phone calls, emails, mail, and text messages in a polite and professional manner
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate staff member
  • Managing the owner’s calendar, including making appointments and prioritizing the most sensitive matters
  • Carrying out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Supporting the team by performing tasks related to organization and communication.
  • Preparing meeting spaces for client meetings and programs.
  • Providing information by answering questions and requests.
  • Contributing to team effort by completing tasks requested on time.
  • Demonstrating respect for clients’ privacy and confidentiality.
  • Preparing and formulating spreadsheets for office projects and clients.
  • Pick up and deliver messages, documents, packages, and other items between offices or directly to and or from other businesses and vendors
  • Other duties as requested

Education, Experience, and Licensing Requirements:

  • High school diploma, GED, or equivalent required
  • Minimum 5 Years of previous customer relationship experience preferred
  • Knowledge of appropriate software including Microsoft Office, Adobe Acrobat, Google Suite
  • Valid driver’s license, reliable transportation, current automobile insurance, clean driving record
